Event: Cobblestone Hotels 2025 Conference

Location: Hilton Orlando Lake Buena Vista – Disney Springs®

By registering for and participating in this conference (the “Conference”), you agree to the following Terms and Conditions, which govern attendance and participation.

1. Registration and Attendance
   1. All attendees must complete official Conference registration to participate in any sessions, meals, or events.
   2. Name badges must be worn at all times and are non-transferable.
   3. Registration does not include hotel accommodations, and vice versa. Booking a hotel room does not constitute Conference registration.
   4. Conference organizers reserve the right to deny registration or revoke access at their sole discretion for any reason.
2. Privacy and Data Use
   1. Personal data provided during registration (e.g., name, email, company, position) will be used to administer your attendance, provide event-related communications, and improve the attendee’s experience.
   2. Attendee data may be shared with internal teams and approved Conference partners or vendors for operational purposes only. It will not be sold or shared with unrelated third parties.
   3. All personal data will be handled in accordance with applicable privacy laws. You may request access to or correction of your data at any time by contacting: info@cobblestoneconference.com
3. Email Communications
   1. By registering, you agree to receive Conference-related emails, including updates, reminders, session materials, sponsor information, and post-event surveys.
   2. You may unsubscribe from marketing communications at any time; however, essential operational emails will continue through the conclusion of the Conference.
4. Photography, Videography, and Media Release
   1. The Conference may be recorded and documented through photography, videography, and live streaming by the organizing team or designated media personnel.
   2. By attending, you grant the Conference organizers the right to use your image, likeness, and voice in promotional, educational, or informational content in any media format, now or in the future, without further notice or compensation.
   3. If you prefer not to be recorded or photographed, please notify an event staff member during check-in.
5. Code of Conduct
   1. Attendees are expected to act professionally and respectfully at all times. Harassment, inappropriate behavior, or disruptive conduct will not be tolerated.
   2. Any violations may result in removal from the Conference without refund and may affect future participation.
6. Hotel Reservations
   1. Conference attendees are responsible for booking their own hotel accommodations.
   2. Reserving a room in the Conference room block is recommended but does not register you for the Conference.
7. Event Changes and Cancellation
   1. Conference organizers reserve the right to modify the schedule, speakers, sessions, or venue without prior notice.

1. In the unlikely event of Conference cancellation, liability is limited solely to the refund of registration fees. Travel and lodging costs are non-refundable and remain the attendee’s responsibility.

1. Limitation of Liability
   1. The Conference organizers, Cobblestone Hotels, affiliates, sponsors, and venue (Hilton Orlando Lake Buena Vista – Disney Springs®) will not be liable for any loss, injury, damage, delay, or inconvenience sustained by any attendee during the Conference, including but not limited to those caused by natural disasters, public health emergencies, technical failures, travel delays, theft, or personal negligence.
   2. Attendees participate in the Conference and all associated activities at their own risk. Attendees are responsible for their own insurance coverage (health, travel, liability, etc.) as needed.
2. Indemnification
   1. By attending the Conference, you agree to indemnify, defend, and hold harmless the organizers, Cobblestone Hotels, their affiliates, sponsors, employees, volunteers, and agents from and against any and all claims, liabilities, losses, damages, expenses, and costs (including reasonable attorney’s fees) arising from or related to:
   2. Your attendance or participation in the Conference;
   3. Your violation of these Terms and Conditions;
   4. Any act or omission by you that results in injury or damage to any person or property.
